Visitation tracking

 

CMD provides extensive visitation tracking. There are three ways to access the visitation tracking tools:

On the Enter/Modify/Delete Names dialog, click the button in the lower right corner of the dialog.

Click Names | Visitation on CMD's main menu, or press Ctrl-V. Note that when you call up Visitation in this manner, there is a Name Search dialog that appears so that you can select the individual on whose visitation records you wish to work.

When the Visitation Records dialog appears, the screen displays the visits in date order, along with the visitor and the comments about the visit.

The Comments Entry/View space displays the comments for the visit selected in the grid. You may enter up to 64,000 characters in the comments field.

To add a new visit to the records, click the + button on the navigator bar. That will open up new space in the grid. Click the small icon in the upper right corner of the date field to pick the date from a pop-up calendar. Press TAB to move to the Visitor column where you may enter the name who made the visit. Press TAB again to select the type of visit. Finally, press TAB to enter the comments area to enter anything about the visit you wish to remember.

Click the Save icon on the navigator bar to save the data for the new visit.

Printing Visitation Information

There are a number of ways to print visitation information.

Use Print Names. There are numerous print options available for printing visitation reports as a batch in Print Names for any group of names you can select using the options on the Selection page of Print Names.

Print Visitation History. From any Visitation dialog, you may click the Print button and select Visitation History. This page is a summary of all the visits of the name whose visitation record you are currently viewing.

Print Visitation Assignment. Select this form if you want to create a visitation assignment page that can be handed to an assigned visitor. This page will print the person's name who is to be visited along with their contact information (including directions if you wish. See Family Comments for more information on how to enter directions). This is then followed by the assignment information: date of the assignment, visitor, type of visit it is to be, and comments about the visit.

Print Visitation Roster. This choice is meant to be used in conjunction with the SCP field. That is, when a Spiritual Care Provider logs in to CMD to view or modify his/her visitation of those for whom they have been assigned to provide care, the roster will print the names associated with the SCP on a form that shows the name, address, phone numbers, and the date of their last visit. You can easily see from the order of the names those who should be visited first based on their Last Visit date.

The actual assignment information is derived from the top-most visitation item. Thus, you'll need to add a new visit, and in this new visit, enter the assignment information as if it were a visit that was already made. Since it will be made with today's or a future day's date, this entry will be the top-most entry in your list of visits. The assignment information is always drawn from this information.

Once the visit has been made, the fields in the assignment visit can be updated to reflect the actual date of the visit and updated comments about it.

The Visitation Assignment form also prints some blanks for writing in comments, and the visitation history for the person. If you do not wish to print all the visits, first select the visit on the list of visits that is the last visit you want to show in the history. Only those visits from the first visit down to the marked one will be included in the printed history.
