Print Attendance Forms

 

You may print special forms for tracking attendance by selecting the Print Attendance Forms option of the Attendance Menu. There are two form types available:

Attendance Form prints the names you select along with a short blank line beside each name that you can use to place a check mark if they are present. If you wish to print a form that includes a bar code for quicker attendance entry, check the Print Bar Code item. See Using a Scanner to Mark Attendance for more information.

Roll Book Form prints a grid-like form designed to go in attendance books or folders to keep track of attendance for a SS Class/Division, church board, etc.

Note that some laser or ink jet printers may not have enough internal memory to print more than a very short list of names on roll book pages. If you get a Windows message telling you there is not enough memory, you will have to add memory to your printer in order to print roll book pages!

There are five simple steps to take when printing forms:

Select the Group of Names in the combo box in the upper left corner of the Print Attendance Forms dialog labeled Choose Group for List. After most choices from this drop-down list, the list of specific items relating to the field you selected will appear in the list box immediately below the combo.

 For example, if you wish to print a roll book page for your church’s Youth department, you would select SS Class/Division Names from the drop-down menu. When you do, the list of your currently-defined SS Classes will be appear in the list box. Click directly on the class that represents your Youth department.

 If you wish to print a roll book page or attendance form for another SS Class/Division, simply click on the other item in the list of classes. Or, you may open the Choose Group for List combo box again at any time and select another field.

 One additional note: When your selection is SS Class/Division Names, you may select more than one class for printing if you need to print several at one time. Do this by holding Ctrl down while you click your choices. There is also a choice on the Choose Group for List combo that allows you to print a form for all SS Class/Divisions in sequence if needed.

Select the Affiliation (if any).

Select the type of Form you wish to print.

Note that when you select Roll Book pages, there are a number of options that you can use to tailor the roll book pages for your use. You may need to experiment a bit to get the right values for some specific lists that you print.

Enter a Form Headline if desired.

Make sure you have selected the desired printer and fonts, and checked Print Titles and Suffix as desired.

Click Print to begin the actual printing.

In some cases there will be a slight pause after you click the button to begin printing and before the actual printing begins. This is because the program will gather the list of names you have specified before the printing begins. The pause will be very brief in most cases.
