Multi-Year Pledge Statements

 

If you wish to print statements that take into consideration more than one pledge year, then you will not use the normal Print Statements dialog on the Contributions Menu. Instead, select the Multi-Year Pledge Statements item on the Contributions Menu.

Though this dialog is similar to the Statements dialog, its function is exclusively to help you print statements based on more than one pledge year.

The fields and parameters you set are similar to those on the regular Statements dialog. On this dialog, however, you’ll need to pay particular attention to the Pledge Period and the Report Period End fields.

Set the Pledge Period fields to match the years (inclusive) that you wish to have considered. Set the Pledge Period End (usually in the current year sometime) where you want the consideration of pledges given to end. This is required in order to calculate the amounts that should be due at the point in the year that the Report Period End date defines.

Show Cumulative Due

The Show Cumulative Due check box enables the printing of a tag line after the statement information is printed that shows the cumulative balance due for the pledge based on the pledger's interval. Also included would be any outstanding balances not yet paid on prior years' pledges. Check the box if you wish to have CMD print the cumulative amount due, or leave it unchecked if you don't.

The text box to the right of this check box displays the default message that's displayed. You may edit this message to suit your own needs. However, the default message will be displayed here the next time you come back to this dialog.

Pledge Account

Make sure you select the appropriate account used for the pledge. These reports detail activity only in one account per report!

Output Forms

There are only three output forms on this dialog at this point. They were designed to be very general forms, and may not provide enough information for your use. If that’s the case, contact us and we will make a good faith attempt to add additional forms if possible to accommodate your needs.

Here’s what is provided in this release:

Summary Statement Report. This report shows the total amount pledged over the entire pledge period, the total number of periods (in years) of the pledge, the amount given to date, the balance on the overall pledge, and any amount that is due now based on where in the life of the pledge the report is printed (based on the Report Period End date).

Detail Statement Report. This report breaks down the pledge activity for each pledge period (year) so that a donor can see if they ended up ahead, behind, or finished on each year of their pledge. Totals are provided so that they can see the total pledged, given to date, and the balance left on their pledge. There is also a cumulative amount currently due shown at the end of the statement.

Summary Report of All Pledges. This report shows a one-line summary for each name who has pledged in the Pledge Period you’ve defined. It does not show a current amount due, but does show overall balance to date for each pledger.
